1. The best email in the world is worthless in spam
You can write the perfect message to the perfect person — and if it lands in spam, it never happened. Deliverability, not copy, is what most cold outreach actually gets wrong. The good news: it’s a system, and a system can be automated. Here’s what keeps you in the inbox.
2. Never send from your primary domain
One spam complaint on your main domain can hurt your real business email. Isolate cold outreach:
- Use separate sending domains (e.g. a “.co” or “get-” variant), not yourcompany.com.
- Point them at your brand, but keep reputation risk off your primary domain.
- Spread volume across several domains and mailboxes rather than hammering one.
3. Authenticate everything: SPF, DKIM, DMARC
These DNS records prove your mail is really from you. Without them, providers distrust you by default:
- SPF — authorises which servers can send for your domain.
- DKIM — cryptographically signs each message so it can’t be forged.
- DMARC — tells inbox providers what to do with mail that fails the above, and gives you reporting.
- Get all three right per sending domain before the first send.
4. Warm up before you ramp up
A brand-new mailbox that suddenly sends 200 cold emails looks exactly like a spammer. Earn trust gradually, and respect per-mailbox sending limits:
- Start with a handful of sends a day and increase slowly over 2–4 weeks.
- Drive positive engagement (opens, replies) during warm-up so providers see real interaction.
- Keep each mailbox under a sane daily limit even once warmed.
5. Write like a human, not a marketer
Spam filters (and people) punish “blast” signals. Keep it plain and personal:
- Plain text, short, one clear ask — skip heavy HTML, big images, and multiple links.
- Avoid spam-trigger words and ALL-CAPS / excessive punctuation.
- Genuinely personalise the opener — relevance is the strongest deliverability signal there is.
- Make unsubscribing easy; honour opt-outs instantly.
6. Keep your list clean
Bounces and traps wreck sender reputation faster than anything. Hygiene is non-negotiable:
- Verify every address before sending; drop invalid and risky ones.
- Be careful with catch-all domains and never buy scraped, unverified lists.
- Suppress anyone who bounced, complained, replied, or unsubscribed.
7. Monitor, or you’re flying blind
Deliverability drifts. Watch the signals and react before you get blacklisted:
- Track bounce rate, spam-complaint rate, and reply rate per mailbox.
- Use inbox-placement / seed tests to see where you’re actually landing.
- Watch blacklists and pull any domain or mailbox that starts to degrade.
Send during business hours
When you send matters as much as what you send. Time your outreach to the recipient, not your own clock:
- Send during the recipient’s working hours — that’s when real people read and reply.
- Off-hours bursts (nights, weekends) look automated and get lower engagement.
- Schedule around the prospect’s timezone, not yours, so mail lands at the right local time.
Comply while you’re at it
Deliverability and the law point the same way: identify yourself, offer opt-out, and only email people with a legitimate reason to hear from you. Follow CAN-SPAM, GDPR and local rules — it protects your reputation and your company.
